Cold Leads vs HubSpot: which one fits a small B2B team
- Who it is for
- Founders and small sales teams choosing a CRM
- The problem
- HubSpot is the default answer to "which CRM?", but a team of one to ten people mostly needs to catch website enquiries, send personal outreach and answer replies, and HubSpot's paid tiers are priced per seat with onboarding fees on the higher editions.
- The solution
- Compare the two on what a small team actually does every day: capturing enquiries, sending outreach from its own mailbox, reading replies and keeping a pipeline. Cold Leads is a flat price per account with those pieces built in; HubSpot is a much larger platform that adds sequences, marketing automation and reporting as you move up its editions.
- What you get
- A clear picture of where each tool is stronger, the pricing models side by side, and a way to run Cold Leads next to HubSpot if you keep both.

The short version
| Cold Leads | HubSpot | |
|---|---|---|
| What it is | A CRM for small B2B teams: website enquiries, outreach campaigns, a shared inbox per contact and a simple pipeline | A customer platform with separate Marketing, Sales, Service and other hubs on top of a free CRM |
| Pricing model | Per account: Solo 19 USD, Team 49 USD, Business 99 USD a month (199 / 499 / 999 USD a year); seats included (1 / 4 / 10) | Free CRM, then paid hubs priced per seat; Professional editions have a one-time onboarding fee |
| Website forms | Any HTML form posts to Cold Leads with a public website key, on every plan | Built-in form builder in the free tools; it can also collect non-HubSpot forms |
| Outreach e-mail | Campaigns sent from your connected Gmail, Microsoft 365 or SMTP mailbox (or Cold Leads' sender), with daily caps | One-to-one sales e-mail from the rep's connected inbox; automated sequences need Sales Hub or Service Hub Professional or Enterprise |
| Multi-step sequences | No: one template per campaign; follow-ups are reminders in the inbox's Today queue | Yes, on Professional and Enterprise |
| Replies | Synced into one chat per contact and classified (positive, neutral, negative, unsubscribe, auto) | Logged on the contact record and in the shared inbox |
HubSpot details were checked on hubspot.com pricing pages and the HubSpot Knowledge Base in October 2026. HubSpot changes editions, promotions and limits often, so check its pricing page before you decide.
Where Cold Leads is the better fit
- You want one price for the whole team. Cold Leads plans include seats (Solo 1, Team 4, Business 10), so adding a colleague does not change the bill.
- Your leads come from your website. Every plan can create a public website key, and any form that can POST (plain HTML, WordPress, Webflow, a form builder through Make or Zapier) creates a contact with the message, tags and the stage you chose.
- You send personal outreach in batches. Campaigns go out from your own mailbox with a daily cap, skip opted-out and do-not-contact addresses, and send each template to an address only once.
- You want replies in one place. Gmail, Microsoft 365 and IMAP replies are synced into a chat per contact, classified, and the first human reply moves a contact to the lead stage.
- You verify lists before sending. E-mail verification checks syntax, disposable domains, role addresses and MX records, and probes the mailbox when the recipient's mail server can be reached; each check costs a credit.
Where HubSpot is stronger
- Automated multi-step sequences. Cold Leads sends one template per campaign and has no scheduled follow-up steps.
- Marketing automation, landing pages, ads and reporting at scale. Cold Leads has none of the marketing-hub features.
- Deals, companies and custom objects. Cold Leads has contacts, tags, lists and five stages (cold, subscriber, lead, customer, regular), not a deal pipeline with amounts.
- A large app marketplace. Cold Leads connects through its website key, a REST API and an MCP server (API and MCP on Business), not through a marketplace of native apps.
- Unsubscribe handling. HubSpot marketing e-mail carries an unsubscribe link; Cold Leads campaign e-mails ask recipients to reply UNSUBSCRIBE and opt them out when they do.
Running Cold Leads next to HubSpot
Some teams keep HubSpot as the system of record and use Cold Leads for outreach. A common split: website enquiries and outreach replies live in Cold Leads, and contacts that become customers are copied to HubSpot. The form below sends an enquiry to Cold Leads; replace the key with a website key (lk_…) from Settings → API keys and the thank-you URL with a page on the site you set as the key's allowed website.
<form action="https://coldleads.app/api/hooks/lead" method="POST">
<input type="hidden" name="_key" value="lk_your_website_key">
<input type="hidden" name="redirect" value="https://www.example.com/thanks">
<input type="hidden" name="tag" value="contact-page">
<input name="email" type="email" required placeholder="Work e-mail">
<input name="name" placeholder="Name">
<input name="company" placeholder="Company">
<textarea name="message" placeholder="How can we help?"></textarea>
<!-- honeypot: leave empty, hidden from people -->
<input name="website" tabindex="-1" autocomplete="off" style="display:none">
<button type="submit">Send</button>
</form>To move contacts in the other direction, export contacts from HubSpot as a CSV file and import it in Cold Leads (Contacts → Import). Imported contacts are saved with consent status B2B outreach; website enquiries are saved as inquiry, so the two stay apart.
How to decide
- Write down where your leads come from. Mostly website enquiries and lists you build yourself: Cold Leads covers that end to end. Mostly inbound marketing with content, ads and nurturing: HubSpot's marketing tools are the better match.
- Check whether you need automated multi-step sequences today. If yes, Cold Leads does not have them; HubSpot does on Professional and Enterprise.
- Price the whole team for a year. Cold Leads: the plan price (199, 499 or 999 USD a year). HubSpot: seats × edition price, plus any onboarding fee and marketing-contact tier.
- Try both with real data. Cold Leads has a 5-day trial with small limits (card required); HubSpot's free CRM has no time limit.
FAQ
Is Cold Leads a HubSpot replacement?
For a small team whose work is website enquiries, personal outreach and replies, it can be. It is not a replacement for HubSpot's marketing automation, sequences, deal pipelines or reporting.
Does Cold Leads sync with HubSpot?
There is no native HubSpot sync. You can export and import CSV files, or build a sync yourself with the Business plan's REST API and the stage hook.
Is Cold Leads priced per user?
No. Each plan is a price per account and includes a number of seats: 1 on Solo, 4 on Team and 10 on Business.
Can I send sequences with follow-ups in Cold Leads?
Not automatically. A campaign sends one template; the inbox suggests follow-up dates and lists due follow-ups in the Today queue, and you send them yourself.
