A calm sales morning for a small team
One summary at 7 a.m., one shared inbox and an alert when it matters — how a team of two to ten can stop losing replies

In a small team, sales is rarely anyone's only job. The founder answers inquiries between meetings. A project manager writes to past clients on Fridays. Someone handles the shared info@ address "when there's time".
The result is familiar: replies spread across three inboxes, nobody sure who answered whom, and a lead who asked for a meeting on Monday still waiting on Wednesday. Nobody dropped the ball on purpose. There was simply no single place to see what needed doing.
Here is the routine we designed Cold Leads around for small teams — the Team plan covers up to 4 members, Business up to 10.
7 a.m. — the morning summary
Every morning at 7 a.m. in your workspace's time zone, each team member (who has it switched on) receives one short email:
- Warmed up overnight — contacts whose temperature rose, hottest first.
- Replies waiting for you — people who answered and have not heard back.
- Follow-ups due today.
- Yesterday — how many emails were sent, how many replies came in, how many new contacts arrived.
If there is nothing to do, the summary is not sent. No noise for the sake of it.
The point is simple: you start the day with a list, not with a search.

During the day — one inbox
Replies are picked up from the mailboxes you connected (Gmail, Microsoft 365 or SMTP + IMAP) and land in each contact's chat, with the full history beside them. The Cold Leads inbox shows all of them in one place and sorts them by intent.
At the top, "lead rescue" lists who is still waiting for an answer today — replies with no response yet, leads without an owner, follow-ups that are due. One click assigns a lead to yourself or a teammate. Roles (admin, agent, support) decide who can do what.
That is the end of "did anyone answer this client?".

The moment it matters — alerts
Some events should not wait until tomorrow's summary. On Team and Business, Cold Leads sends an alert when:
- a contact crosses your hot threshold (77°F by default — you can change it), or
- someone replies positively, asks about pricing or asks for a meeting.
The alert goes by email to the contact's owner (or to the team, if the contact has no owner), and — if you add a webhook — to Slack, Discord or any HTTPS endpoint such as Make, Zapier or n8n. Each alert is sent once, so a busy lead does not flood your channel.
Every team member can switch the alerts and the summary on or off for themselves in Settings → Account → Notifications.

Follow-ups that look after themselves
The last piece is the work nobody remembers to do. Automatic follow-ups (up to three per campaign, in the same email thread) go out after the days you choose and stop on their own when the contact replies, unsubscribes, bounces or becomes a customer. Due follow-ups also appear in the morning summary.
What a calm morning buys you
None of this is about sending more emails. It is about not losing the conversations you already started. A small team does not need a sales department; it needs to know, every morning, who is waiting and who is warm.
